Divide by 60

Decimal hours are minutes divided by 60. Payroll systems and invoices want hours as a decimal because you cannot multiply 7:30 by an hourly rate — you multiply 7.5.

The quarter hours are the clean ones: 15 min = 0.25, 30 min = 0.50, 45 min = 0.75. Most others repeat — 20 minutes is 0.333…, written 0.33 on a timesheet.

Three examples

• A 20-minute stand-up — 20 minutes is 0.33 decimal hours.
• A half-day — 3:45 is 3.75 decimal hours.
• A full timesheet week — 37:30 is 37.50 decimal hours.

Round once, at the total

Quarter-hour rounding (0.25 steps) and tenths (0.1 steps) are both common, and both are fine as long as the rule is written down and applied the same way by everyone. What is not fine is rounding every entry up: six entries a day rounded up to the next quarter adds well over an hour a week that nobody worked, and a client checking the detail will find it.
